Terms and Conditions of Booking

10th – 14th August 2026  |  Whitley Village Hall, Northwich

1. Booking and Confirmation
A booking is confirmed once a deposit of £50 per child has been received. Places are allocated on a first come, first served basis and cannot be held without a deposit.
By completing a booking you confirm that you have read, understood and agree to these terms and conditions.

2. Payment
The deposit of £50 per child is due at the time of booking and is non-refundable in all circumstances. The remaining balance must be paid in full by 20th July 2026. An invoice will be issued in July with payment instructions.
Where the balance has not been received by 20th July 2026, Hobley Music School reserves the right to release the place and offer it to another family. In this circumstance the deposit will not be refunded.
The full camp fee per child is £240 for the core day (10:00am–2:00pm). Wraparound care (8:30am–4:00pm) is available at an additional charge of £60 per child for the week.

 3. Cancellation
If you wish to cancel a booking, please notify us in writing as soon as possible by emailing us at the address below. The £50 deposit is non-refundable in all circumstances. Cancellations received on or before 13th July 2026 will receive a full refund of any balance paid, minus the deposit. Cancellations received after 13th July 2026 will not be eligible for a refund of any amount paid, except in exceptional circumstances at the sole discretion of Hobley Music School. If Hobley Music School cancels the camp, all fees paid, including the deposit, will be refunded in full.

4. Behaviour and Welfare
We expect all children attending the camp to behave in a way that is respectful to staff, other children and the venue. We aim to create a safe, inclusive and enjoyable environment for everyone. In the event that a child’s behaviour is considered by our staff to be unsafe, persistently disruptive, or harmful to themselves or others, Hobley Music School reserves the right to exclude the child from the camp. In such circumstances:

•       parents or carers will be contacted and asked to collect the child promptly

•       no refund will be issued for any remaining days of the camp

We will always aim to resolve concerns informally before taking this step.

 5. Medical and Additional Needs
You must disclose all relevant medical conditions, allergies, dietary requirements and additional needs at the time of booking. This information will be shared only with staff members who need it to keep your child safe. Where a child requires medication during the camp day, this must be provided in the original packaging, clearly labelled with the child’s name and dosage instructions. Staff are not able to administer prescription medication unless it has been agreed in advance and written consent has been provided.
If you would like to discuss your child’s needs before booking, please get in touch and we will be happy to help. We reserve the right to refuse a booking where we believe we cannot safely meet a child's medical or additional support needs.

6. Photography and Media
During the camp, photographs and videos may be taken for use in Hobley Music School’s marketing materials, website and social media channels. Images will never include a child’s full name. By completing a booking you are consenting to your child being photographed or filmed unless you notify us otherwise in writing before the start of the camp. If you do not wish your child to be included in any photography or filming, please contact us at the address below and we will ensure this is noted and respected. Photography preferences can also be updated at any time before or during the camp by contacting us.

7. Drop-off, Collection and Supervision
The core camp day runs from 10:00am to 2:00pm. Wraparound care is available from 8:30am and until 4:00pm for those who have booked this option. Children must be signed in at drop-off and signed out at collection by a parent, carer or named authorised adult. We are unable to release a child to any person who is not listed as an authorised contact unless we have received written instruction from the parent or carer. If you will be late collecting your child, please contact us as soon as possible.

8. Data Protection
Personal information collected at the time of booking, including contact details and medical information, will be held securely and used only for the purpose of administering the camp and keeping your child safe. We will not share your information with third parties except where required by law or where it is necessary for the safety of your child. Our full privacy policy is available on our website.

9. Liability
Hobley Music School takes all reasonable steps to ensure the safety of children in our care. However, we cannot accept liability for loss or damage to personal belongings brought to the camp. Parents and carers are advised not to send children with valuable or irreplaceable items.
